Space Reservation and Event Organiser Services
Many of our customers book exhibition stand space before seeking our expertise. If you need assistance with booking, we’re here to help. We recommend prioritising your budget on enhancing a smaller space for a stronger impact, rather than on securing a larger but emptier stand. This is one of many tips we offer to optimise your exhibition presence and maximise your exhibition space.
Concept and Design
We work with you to establish your requirements for your stand and based on that brief and your budget, we will design a stand to suit. While we always aim to meet customer needs, we don’t always get it right the first time. This is why we are happy to collaborate on the process and make amendments to the design until the look and feel is exactly how you envision.
Graphic Design and Production
Many of our customers already have dedicated graphic design teams or marketing agencies, but for those who don’t, we offer a top-tier graphic design service.
After you approve the stand design, our team actively designs a detailed graphics layout, ensuring every visual element shines.
Plus, we don’t just design; we print, install, and dismantle all stand graphics, providing you with a seamless exhibition experience.
Audio Visual
We provide any audio visual that you will see on your stand design. We have a large stock of screens in house and any AV that we do not stock, we have a trusted supplier that we use to provide. We will be responsible for the installation of any audio visual.
Lighting
We provide any lighting that you will see on your stand design. We have a large stock of various types of lights from stem lights, LED tape, spotlights and hanging lights in house. We custom purchase any unique lighting that is added to the design and not in stock. We will be responsible for the installation of any lighting on your exhibition stand.
Electrical Services and Rigging
Electric for your stand must be ordered from the organisers preferred supplier and if you opt to have a hanging banner on your stand, any rigging for this will also have to be ordered from the organisers preferred supplier. We are happy to do this on your behalf to ensure that the forms are completed correctly and to make that one less thing for you to worry about.
Project Management On-and Off-site
At Insideout Events, a dedicated Project Manager will spearhead your journey, ensuring a streamlined experience. From understanding your needs to delivering stand designs, supervising the workshop build, and being on-site at the event, they’ve got it all covered. This approach not only aligns with our core values but also ensures precision and fosters a close, personal partnership with you. Choose us for an efficient and tailored service.
Production, Build and Installation
Once the design is right, we will submit all stand plans, risk assessments, CDM and method statements to the organisers on your behalf so that the design can be signed off by the organisers as safe to build. Once we get this go ahead, our experienced carpenters will custom build all parts of the exhibition stand here at our workshop in Redditch. The stand will be wrapped up and stored ready to be transported to the event when the time for the show arrives. The stand will be built by our skilled team at the event and then dismantled after the event.
Freight and Logistics
Not only do we transport the exhibition stand to and from the show, we can also help you with getting your stock to and from the event. This could be through having your stock delivered directly to us to take alongside the exhibition stand, or arranging with the event organised designated logistics providers for the event to get your stock taken in at the venue and delivered to your stand.
Exhibit Storage
After the event, if you would like to re-use any elements of the exhibition stand at future events, we are able to store this for you. Storage can be paid quarterly or annually, we also offer discounts on the storage if the stand elements are re-used more than once per year.
FAQs
Do we need to be on-site for the stand installation?
No, although it is always best for you to arrive early in the afternoon on the last day of the build so that we can help you with positioning your products/testing your content on the screens. We also like to confirm that you are happy with everything on the stand before we leave the site.
How do we organise the installation?
You can leave the majority of that to us. The only thing you need to worry about is establishing your budget and brief for the stand and getting yourself and your products to the show.
Can you build a stand we already have?
We do not tend to build stands that have already been made by another company as every business has their own way of producing exhibition stands. Instead, we would recommend speaking with our team to produce a new custom event stand that we can manage and build for you.
How can I get my stock to the exhibition hall?
If you are exhibiting in the UK, you are welcome to ship your goods to us pre-show so that we can transport them with the rest of the stand. This will save you costs as venues charge a fee to take in your stock and deliver them to your stand. If you are exhibiting outside of the UK, we would recommend that you use a courier who has experience sending a product that is not planned for sale overseas as it is a little more complicated to export goods.
Can you collect our stock from our premises?
Yes of course.
How do we arrange a collection?
Get in touch with the person that has been working with you on your exhibition stand to arrange a suitable day and time for a member of Insideout to collect the goods (if they are large products) or to send a courier for a few parcels/boxes.
How long does it take to deliver an exhibition stand?
Depending on the final destination it can take between 1-3 days to deliver an exhibition stand. This will be factored in to the planning stage at the start of the project.
Will I have my own dedicated exhibition project manager?
Yes, the person that you communicate with on planning the event and all of the lead up will also be the person managing the on site stand build.
What is an exhibition event manager responsible for?
Your Insideout exhibition event project manager will work with you from the moment that you have booked your stand space, from helping you to establish your budget, to creating designs to fill the space. They will manage the logistics of getting the stand and from the show, arrange all services required around the event (electrics, rigging, any other special requirements) and be there for any event-related help that you require. The Event Manager will also be on-site during the build-up of the stand to ensure that everything is being built to spec and running smoothly.
